This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information in connection with our website, quotations, reservations, customer support, and Transportation Management Services.

2. Information We Collect

Payment credentials entered into a hosted payment gateway are handled by the applicable payment provider. Our ordinary booking records use transaction references and masked details rather than complete card numbers. We do not retain card security codes after authorization.

We do not routinely require medical diagnoses to coordinate accessibility. Please provide only information needed to explain the requested accommodation.

We do not record calls unless appropriate notice is provided and any legally required consent is obtained.

3. How We Use Information

We use personal information to:

  • Prepare quotations and respond to inquiries;

  • Confirm reservations and maintain booking records;

  • Coordinate vehicles, routes, pickup instructions, and passenger requirements;

  • Communicate with the assigned Operating Carrier and trip contact;

  • Process authorized payments, refunds, and payment disputes;

  • Provide customer support and investigate service issues;

  • Detect fraud, secure our systems, and prevent misuse;

  • Maintain accounting, tax, insurance, and legally required records;

  • Understand website performance using permitted measurement tools;

  • Send promotional communications where legally permitted;

  • Respond to privacy requests and comply with legal obligations.

We do not use sensitive accommodation information for advertising, audience creation, or unrelated profiling.

Providing information required for a reservation or payment is necessary to complete that service. Optional marketing consent and optional cookies are not conditions of booking.

4. Information About Other Passengers

A booking organizer may provide information about a trip contact or passengers.

The organizer must have an appropriate lawful basis for providing that information and should make this Policy available to the individuals concerned. We use it only for relevant booking, transportation, safety, support, and legal purposes.

Where applicable law requires a separate notice to a person whose information we receive indirectly, we will provide it within the required period, subject to lawful exceptions.

5. Data Sharing and Authorized Operational Network Partners

We never sell personal information to third parties.

For ordinary service delivery, we share personal information only with our authorized operational network partners, to the extent necessary to fulfill the transit service and support its reservation, payment, security, and administration.

These partners include:

  • Assigned Operating Carriers: Trip-contact details, itinerary, pickup and destination information, passenger counts, and necessary accommodation instructions.

  • Payment and financial service providers: Information needed to authorize payments, process refunds, prevent fraud, and resolve payment disputes.

  • Operational technology providers: Providers supporting website hosting, reservation records, secure communications, customer support, and permitted website measurement.

We restrict disclosures to information relevant to each recipient’s function. Where required, our agreements impose confidentiality, security, purpose restrictions, and limits on retention and further disclosure.

Some Operating Carriers and payment providers independently determine how they process information for their own transportation, safety, fraud-prevention, or legal obligations. Their applicable privacy notices govern that independent processing.

We do not provide passenger contact lists to Operating Carriers for unrelated marketing.

Legally Necessary and Specifically Requested Disclosures

The ordinary service-delivery restriction above does not prevent disclosures that are legally required or necessary to:

  • Respond to valid legal process or regulatory obligations;

  • Protect an individual’s vital interests or respond to an emergency;

  • Establish, exercise, or defend legal claims;

  • Investigate fraud or security incidents;

  • Obtain confidential legal, accounting, or insurance support;

  • Carry out a specific disclosure you request or validly authorize.

Such disclosures are limited to their lawful purpose and are not permission to sell information or disclose it for unrelated advertising.

6. Cookies and Similar Technologies

Our website may use cookies and similar technologies for:

Essential functions: Security, session continuity, form operation, and remembering privacy choices.

Preferences: Remembering settings you choose.

Measurement: Understanding website usage and identifying performance problems, subject to applicable consent and configuration requirements.

We do not use personal information for cross-context behavioral advertising or permit tracking providers to use website information for their own unrelated advertising purposes.

Where consent is required, optional technologies remain inactive until you choose to enable them. You may reject optional cookies or withdraw consent through [COOKIE SETTINGS LINK].

Cookie settings must identify the actual technologies in use, their providers, purposes, and durations. Blocking essential cookies may prevent certain website features from functioning.

We honor applicable Global Privacy Control signals as requests to opt out of sale or advertising-related sharing. General browser “Do Not Track” signals do not necessarily provide the same functionality.

We do not knowingly sell or share personal information for cross-context behavioral advertising, including information relating to individuals under 16.

7. Payment Security and Personal Information Protection

We maintain reasonable administrative, technical, and organizational measures appropriate to the nature of the information and the risks involved.

These measures include access restrictions, secure transmission where appropriate, authentication controls, limited access to booking records, and safeguards for operational-provider access.

Payments are routed through the secure payment facilities identified at checkout or on the official invoice. We do not request banking passwords or complete card credentials through ordinary email or chat.

No website, network, or storage system can be guaranteed completely secure. This statement does not limit our legal responsibilities. Where a security incident triggers notification duties, we will notify affected individuals and relevant authorities as required.

Suspected security incidents may be reported to sales@primebuscharter.com

8. Retention

We retain personal information only for as long as reasonably necessary for the purposes described in this Policy, including applicable legal, accounting, and dispute-resolution requirements.

Retention is determined by category:

  • Unconverted inquiries: For the period reasonably needed to respond and manage related follow-up, after which information is deleted or de-identified unless a further lawful purpose applies.

  • Booking and transaction records: For service delivery and the applicable accounting, tax, contractual, and legal-claims periods.

  • Accommodation information: For the period needed to coordinate and resolve the trip, with longer retention only where a specific legal need exists.

  • Support and complaint records: For the period needed to resolve the matter and applicable claims.

  • Security records: For the documented period proportionate to investigating misuse and maintaining system security.

  • Marketing preferences: Until withdrawal or until no longer needed, while retaining minimal suppression information to respect an opt-out.

  • Cookies: For the durations identified in our cookie settings.

Information subject to a valid legal preservation requirement may be retained longer. When retention is no longer justified, we securely delete or de-identify the information. Residual backup copies remain restricted until overwritten through the applicable backup cycle.

9. International Access and Transfers

Our customers, Operating Carriers, personnel, and technology providers may be located in different countries.

Personal information may be accessed, stored, or processed in the United States, Pakistan, and other countries identified in our actual service-provider arrangements. Privacy protections may differ between jurisdictions.

Where GDPR or UK transfer restrictions apply, we use a legally recognized transfer mechanism, such as an applicable adequacy decision or appropriate contractual safeguards, together with additional measures where necessary.

We do not treat acceptance of this Policy as blanket consent to international transfers.

You may contact us for information about relevant processing destinations and applicable safeguards, including a copy or description of contractual safeguards subject to lawful redactions.

10. California Privacy Rights

This section applies where Prime Bus Charter is subject to the California Consumer Privacy Act, as amended by the California Privacy Rights Act (“CCPA”), and to individuals entitled to its protections.

Categories and Business-Purpose Disclosures

The categories described in Section 2 may include identifiers, customer-record information, commercial information, internet activity, approximate location derived from an IP address, and accommodation information that may qualify as sensitive personal information.

The sources and purposes are described in Sections 2–3. The recipient categories are described in Section 5.

We do not use or disclose sensitive personal information to infer characteristics or for purposes beyond those legally permitted without an additional limitation right.

Your Rights

Subject to applicable exceptions, you may request:

  • Access to and knowledge about personal information, its sources, uses, and disclosures;

  • Correction of inaccurate personal information;

  • Deletion of personal information;

  • A portable copy where required;

  • Opt-out of sale or cross-context behavioral advertising sharing;

  • Limits on certain uses or disclosures of sensitive personal information where applicable.

We will not unlawfully discriminate against you for exercising privacy rights.

Submitting Requests

Use the privacy request form, privacy email, or toll-free privacy number listed in Section 1.

We will verify requests using information reasonably necessary for the request type. We will not require account creation solely to exercise a privacy right. Sale or sharing opt-outs are handled without unnecessary identity verification.

You may appoint an authorized representative. We may request proof of permission and, where permitted, confirmation of your identity.

We ordinarily respond to verified access, correction, and deletion requests within 45 calendar days. If a legally permitted extension is necessary, we will explain the reason and revised deadline.

Applicable opt-out requests and preference signals are implemented within the legally required period.

11. EEA and UK Privacy Rights

Serving U.S. customers does not by itself make GDPR applicable. This section applies where our processing falls within the territorial scope of GDPR or corresponding UK law.

Legal Bases

We process personal information on the following bases, as applicable:

  • Contract: Responding to your requested quotation and fulfilling a contract with you.

  • Legitimate interests: Coordinating organizational bookings, preventing fraud, securing systems, and resolving service issues, after considering your rights.

  • Legal obligations: Maintaining legally required records and responding to lawful demands.

  • Consent: Optional tracking, marketing where required, and certain sensitive-information processing.

  • Vital interests: Necessary processing in an emergency.

For sensitive accommodation information, we also require an applicable special-category condition, such as explicit consent where appropriate.

Individual Rights

Subject to legal conditions, you may request access, correction, deletion, restriction, portability, or objection to processing.

You may withdraw consent at any time without affecting the lawfulness of earlier processing. You may object to direct marketing at any time.

We respond ordinarily within one month. Where legally permitted, complex or numerous requests may require up to two additional months, with timely explanation.

You may complain to the relevant data-protection supervisory authority.

We do not make solely automated decisions producing legal or similarly significant effects about you. Payment providers may apply their own fraud controls under their privacy notices.

12. Other U.S. State Privacy Rights

Depending on your residence and applicable law, you may have rights to access, correct, delete, or obtain a copy of personal information, or opt out of targeted advertising, sale, or certain consequential profiling.

Submit requests using Section 1’s contact methods. We will apply relevant verification, response, and exception rules.

Where a right of appeal applies, you may appeal a denied request by contacting us with the subject line “Privacy Request Appeal.” We will provide the outcome and any legally required information about contacting the appropriate regulator.

13. Children’s Information

Our website and booking services are intended for adults and are not directed to children under 13.

We do not knowingly collect information directly online from children under 13 without a lawful basis and required parental permissions.

For school and family transportation, an adult organizer may provide limited information needed to coordinate the service. We seek passenger counts and practical requirements instead of unnecessary individual child details.

If you believe a child has provided information improperly, contact us so we can investigate and take appropriate action.

14. Marketing Choices

You may stop promotional emails through the unsubscribe link or by contacting us.

Where text-message marketing is offered, any required consent will be obtained separately and withdrawal instructions will accompany the service.

Opting out of marketing does not prevent essential booking confirmations, itinerary updates, payment notices, or responses to your inquiries.

We do not disclose mobile contact details or messaging-consent records to third parties for their independent marketing.

15. External Websites

Our website may link to external websites or payment pages. Those services may collect information under their own privacy notices.

A link does not expand our permission to disclose personal information beyond this Policy. Review the relevant notice before submitting information directly to an external service.

16. Policy Updates

We may update this Policy to reflect changes in our practices or legal requirements. The revised version will display an updated date.

For material changes, we will provide additional notice where required. If a new use requires consent, we will obtain that consent before beginning the use.

Publication of a revised Policy does not retroactively authorize incompatible use of previously collected information.
